Be sure to give your card to the most senior member of the group first, bowing slightly as you do so. When accepting a business card, always use both hands and say “Thank you” as you do so.
After you receive the card, never flick it, push it aside or write on it. Instead, you should place it in a carrying case. Never leave the business card behind, as this is viewed as a sign of disrespect.
Dressing appropriately is an essential part of any business meeting, but there are certain rules of etiquette that Japanese businessmen and businesswomen follow that you may want to as well. It is safe to wear a dark suit with a white shirt and subdued tie from October through April. From May through September, gray suits are preferred. Half-sleeve shirts are acceptable during the summer months. Japanese businessmen during all times of the year avoid wearing a black suit with a white shirt and black tie, as this is considered to be funeral attire.
For women, appropriate dress can be a bit trickier. Because Japanese businesswomen are not common, a more conservative approach to dress attire is expected. Japanese female executives typically tie their hair back if their hair is longer. Trouser suits, longer sleeves or longer skirts are best, following the same color guidelines as Japanese men. Avoid wearing jewelry, high-heeled shoes and very short skirts.
Preparing for Meetings
Punctuality and preparation is important in any line of profession for all cultures. As always, it is proper etiquette to call one to two hours beforehand to confirm the meeting. If you will be late, you should call at least one hour in advance in order to allow for time to reschedule. It is highly recommended to arrive at least 10 minutes before the meeting, or earlier if you are meeting with senior executives. Be sure to have an agenda prepared for the meeting and wait to be seated once you enter the meeting room. During the meeting, take many notes to indicate your interest in what is being said.
